Right now, Zendesk has the ability to share dashboards externally however this comes with limitations such as you can't see who views the data, who shares the link, restrict who can share a link, what dashboards can be shared externally, or what data can be shared. Our clientelle and our Agents are impacted as the limitations can result in a security breach (data being posted to the dark web).
What problem do you see this solving?
Setting up these precautions would give us more control over what is shared, when it is shared, and who can share it, and who shared what.
When was the last time you were affected by this lack of functionality, or specific tool? What happened? How often does this problem occur and how does this impact your business?
We are running into this all the time. We have clientelle that needs certain details from us but because we can't share this externally, we have limited options. We pay extra for features in Zendesk and yet we can't fully use them due to oversights such as this.
Are you currently using a workaround to solve this problem?
- We have the dashboards but have to export (the readability of exporting a dashboard is unusable)
- We copy data and paste it into a spreadsheet to share (not live data monitoring, not a good format)
- We grant them light agent access (which means giving them access to Zendesk AND granting them SSO access)
- We set up an API process to export all the data to ANOTHER reporting platform and then setup the functionality there. At this point, why use Explore at all?
What would be your ideal solution to this problem? How would it work or function?
- An audit log of who accessed the externally shared dashboard - password vrs. agent.
- This way we can see exactly who viewed our data
- Can we require an email to be entered along with email
- That way we can restrict what emails can access the dashboard
- We can also see what emails were entered to access the dashboard in the audit log
- Restrict who can share link
- Right now, you can forward that link/password to anyone and they can do that as well. There is no way to restrict the link from being shared. Our data could be visible for all to see and we would not know how much exposure we have
- Restrict which dashboards can be shared externally
- Right now it is an instance wide setting so ANY dashboard can be shared externally
- We can see how many people view a dashboard and if they have shared a dashboard externally but this requires manual action to review each
- Restrict what data is shared externally (PII needs to be internal only)
- Ability to ‘lock’ items like requester name, email, phone number, email, etc. So if this data is present on any reports/dashboards, you are unable to share the report externally
- If they try, they get an error message stating what report has the restricted data and how to resolve (remove it from report, etc)
